Expedite Your Culling and Categorization with ECA and Investigation Dashboards
Recently Gulfstream Legal rolled out Relativity 9.5 and along with it the brand new ECA and Investigation workflow. The introduction of this technology assists users in swiftly evaluating their data and provides a method for our clients to save time and money during their document culling efforts.
ECA Dashboard – A Built-In Situation Report for the Project Manager
During discovery, Project Managers typically ask, and are asked by case teams, the same questions every day about their projects. How much data have we received? What custodians are involved? Of the data collected, what is left to evaluate for Review? It’s like asking for a “Sit Rep” as soon as you walk into a team meeting. The ECA Dashboard provides all these answers and more. Now a Project Manager’s time is saved and PMs are no longer required to navigate through menus or do custom calculations just to see what has or has not been processed. PMs know the project’s status nearly instantly by using the ECA Dashboard.
General Dashboard – Select the Key Dates and Times
The new General Dashboard likewise provides the tools to classify data based upon the date and time on which the important events occurred. A PM or case team member can easily focus upon the pertinent date range by easily zooming in the dynamic chart; the interactive aspect of the dashboard creates automatic search conditions and allows you to view results as filters are applied. The records involved could then be tagged for inclusion/exclusion and flagged under the designation reason as Date Range to allow for further tracking of information. Clearing all conditions then allows the user to quickly go back to his or her original dashboard.
File Information Dashboard – Keeping the Right Types/Extensions and Excluding the Rest
The File Information Dashboard allows for quick classification and tagging based upon type of records involved. On this dashboard a Project Manager can see a high-level breakdown of Record Type with values showing emails, attachments, and eDocs. Often a case team will request all emails and attachments be pushed over to the Review workspace all at once. It only takes a couple of clicks and the PM’s promotion search is created automatically.
Likewise, a PM can quickly view the current File Types for all documents loaded and find specific File Types for a quick filter and include/exclude mass tagging. Project Managers often cull out certain file types such as system files or programs due to their lack of user created content. With the File Information Dashboard a PM does not need to research strange file types and for what purpose they are used. This information is presented to the PM along with which program the file types are associated.
Custodian Analysis Dashboard – Focus on the Pertinent People and Entities
The Custodian Analysis Dashboard provides a further tool for speedy designation determinations. Not only can users see the total number of records per custodian but they can click on the custodian name to focus on that particular individual or entity’s documents. A quick mass edit is all you need to update the designation and designation reason fields. The absence of expected custodian data can also be found as well within the Custodian Analysis Dashboard. If a certain custodian was expected to provide a lot of records and did not do so, then a follow up collection or second look at the data may be warranted.
Project Managers can also utilize the results of a Search Term Report (STR) via the Custodian Analysis Dashboard to quickly classify records. The Custodian Analysis Dashboard shows not only the STR hits but also from which custodian they originate. From this hit list, the Project Manager need only do one mass edit to quickly tag the documents as those for inclusion or exclusion and why.
Cluster Analysis and Visualization – A Great Topping to the ECA and Investigation Dashboards
As if the assistance of the various dashboards was not enough, ECA and Investigation also introduces cluster visualization. These clusters can be used to show which terms are associated conceptually in the custodian data set. A PM can now examine the resulting clusters, drill down to the records and quickly tag for inclusion or exclusion in the Designation field and select a choice for the Designation Reason.
There is no reason to waste time finding related terms to the case at hand and similarly there is no reason not to utilize the clustering technology to simplify your investigation. You will never know what you may find if you don’t look.
